Exporting data from MYOB AccountEdge

Overview

You can connect BudgetLink to your MYOB AccountEdge data file. However, before you do, you need to export the data out of MYOB AccountEdge. You will also need to export the data out of MYOB AccountEdge each and every time you want to see the latest information from MYOB.


The data you need to export from MYOB AccountEdge comes from two sources:

  • File exports;
  • Reports saved as tab-delimited files.


The data you need to export are:

  • Accounts;
  • Jobs;
  • Journal Records;
  • Linked accounts.

You can also export the following data for more advanced functionality:

  • Customers.


Before exporting the data, create a folder to contain the exported files.


Exporting Accounts from MYOB AccountEdge

To export the Accounts from MYOB AccountEdge, follow these steps.

  1. From the MYOB command center, click on the Reports button;
  2. Select the Accounts tab;
  3. Select the Accounts List Detail report and click Customise;
  4. Set the Accounts dropdown to All;
  5. Set the Tax Codes dropdown to All;
  6. Set the As Of field to the last date of the previous financial year (e.g. choose 30/06/2013 if your current financial year is 2014);
  7. Select the Report Fields tab;
  8. Tick to include all the fields;
  9. Select the Finishing tab;
  10. Tick Include $0.00 Balances;
  11. Tick Include Inactive Accounts;
  12. Click Display;
  13. From the report preview screen, click the Send-To button and choose Tab-Delimited Text File...;
  14. Browse to the export data folder and name the file MAC_Accounts.txt;
  15. Click Save.


Exporting Jobs from MYOB AccountEdge

To export the jobs from MYOB AccountEdge, follow these steps.

  1. From the MYOB menu, go to File \ Export Data \ Jobs;
  2. Set the Export File Format to Tab-delimited;
  3. Set the First Record is field to Header Record;
  4. Click the Continue button;
  5. Click the Match All button to include all fields;
  6. Click the Export button;
  7. Browse to the export data folder and name the file MAC_Jobs.txt;
  8. Click Save.


Exporting Journal Records from MYOB AccountEdge

To export the journal records from MYOB AccountEdge, follow these steps.

  1. From the MYOB menu, go to File \ Export Data \ Transaction Journals;
  2. Set the Export File Format to Tab-delimited;
  3. Set the First Record is field to Header Record;
  4. Set the Source Journal to All;
  5. Ensure the Dated From and To fields are blank;
  6. Click the Continue button;
  7. Click the Match All button to include all fields;
  8. Click the Export button;
  9. Browse to the export data folder and name the file MAC_JournalRecords.txt;
  10. Click Save.


Exporting Linked Accounts from MYOB AccountEdge

To export the linked accounts information from MYOB AccountEdge, follow these steps.

  1. From the MYOB command center, click on the Reports button;
  2. Select the Accounts tab;
  3. Select the Linked Accounts report and click Customise;
  4. Leave all the defaults intact and click the Display button;
  5. From the report preview screen, click the Send-To button and choose Tab-Delimited Text File...;
  6. Browse to the export data folder and name the file MAC_LinkedAccounts.txt;
  7. Click Save.

Exporting Customers from MYOB AccountEdge

To export the jobs from MYOB AccountEdge, follow these steps.

  1. From the MYOB menu, go to File \ Export Data \ Cards \ Customer Cards;
  2. Set the Export File Format to Tab-delimited;
  3. Set the First Record is field to Header Record;
  4. Click the Continue button;
  5. Click the Match All button to include all fields;
  6. Click the Export button;
  7. Browse to the export data folder and name the file MAC_Customers.txt;
  8. Click Save.
